Managing daily observations across multiple civil construction sites can be a complex endeavor. To streamline this process, we harnessed the capabilities of Microsoft Lists and SharePoint, creating an efficient system for data collection and reporting.
📝 Structured Data Collection with Microsoft Lists
We utilized Microsoft Lists to capture daily site observations, employing various column types to ensure comprehensive data recording:
Location: A text field specifying the exact site or area.
Observation: Detailed notes describing on-site activities or issues.
Date: A date and time field marking when the observation was made.
Weather: A choice field indicating weather conditions (e.g., Sunny, Rainy, Overcast).
Category: Tags to classify observations (e.g., Safety, Equipment, Materials).
Attachment: An attachment field for photos or documents related to the observation.
These structured entries allowed for efficient sorting and filtering, facilitating the generation of insightful weekly reports.
💧 Monitoring Hydrostatic Tests
Hydrostatic testing, a method to verify the integrity of pipeline sections by filling them with water and pressurizing to detect leaks, was meticulously tracked using Microsoft Lists. Each pipeline section’s status—Pass or Fail—was recorded, providing real-time insights into the testing progress and ensuring timely interventions when necessary.
🌐 Enhanced Communication via SharePoint
To disseminate information effectively, we leveraged a SharePoint Communication Site. Unlike Team Sites, which are designed for collaboration among team members, Communication Sites are tailored for broadcasting information to a broader audience. This setup allowed stakeholders to access up-to-date information, sorted by status, construction site, and date, enhancing transparency and decision-making.
